Privacy Notice for Eastwood Photographic Society

Eastwood Photographic Society takes your privacy seriously.  We are a ‘controller’ of the personal information that you provide to us and this Privacy Notice sets out how, why and for how long we will use your personal data, as well as who it is shared with.   It also explains your legal rights as a data subject and how to exercise them.

What we need from you

When you enrol as a member of Eastwood Photographic Society, renew your membership (including if you are registering or renewing on behalf of a young person aged 16 or under), or take part in club activities as a guest we may ask you for the following personal information:  Contact details – eg name, address, email address and phone number.

If you do not provide us with this personal information it may affect our ability to offer you our membership services and benefits. 

Why we need your personal information 

We need to collect members’ personal information so that we can manage your relationship with us and so that we can pursue the legitimate purposes of the Club. We may use members’ personal information to:

Provide you with core member services, including confirmation of membership.

Organise club activities outside the usual club premises.

Provide you with news and updates about the activity of the club, opportunities to become involved in club outings, training, general meetings or other events.

Raise awareness of the club’s activities by capturing photos.  We will use these for promotion purposes.

Respond to and investigate questions, comments, support needs, complaints, concerns or allegations.

Identify you as the author of images which appear in our newsletter, on publicity material for the club, on our website and in competitions, both internal and external.

Who we share your personal information with 

We do not share our full membership list with any other organisation. We do however participate in competitions and events organised by other organisations, for example the GDPU, the SPF and the PAGB. If your images are used in such an event, some of your personal details will be passed to that organisation for identification purposes. In this case we will be passing your personal information to another data controller. If you wish your image to be used in such an event you must consent to that disclosure. We may also share some of your personal details for identification purposes if your images are placed on our website or in our newsletter.
